Getting your written DNC policy and monthly compliance reports

Create your written Do Not Call policy, and read the monthly report built from your DialClear screening.

Before you start

  • The DNC Audit Pack or Compliance Suite in your CRM plan, or the DNC Audit Pack on a direct account

Tip

Read every section of the policy before you adopt it. It describes practices your team has to actually follow.

The Compliance page holds two things. A written Do Not Call policy drafted for your company, and a report for each month that sums up your DialClear screening.

Important

Both are records DialClear helps you keep. Neither one makes you compliant on its own, and using DialClear does not give you safe harbor protection. Have your attorney review the policy before you rely on it. Nothing here is legal advice.

Create your written policy

Step 1. Open Compliance

Open Compliance from the left menu. The first card is the written policy.

Step 2. Enter your company name

The Company name box starts with your own name. Replace it with the business name you want on the policy.

Step 3. View, download or print

Choose View policy to read it on screen. From there, Print prints only the policy, and Download saves it as a text file. The JSON button on the card saves a copy in a format other software can read.

The policy is drafted fresh each time you open it, dated that day, and lists the email you sign in with as the contact for questions. Download a copy whenever you make a change you want on file.

What the policy says

Note

The policy is a template for you to review and adopt as your own. Its opening line says it was written to address the Do Not Call procedures in the Telemarketing Sales Rule and FCC rules. DialClear does not provide safe harbor coverage. Safe harbor depends on your own registry access and your own procedures.

The policy has ten sections, shown here by short name. Several of them are promises about how your team calls, so read them closely.

Section What it commits you to
Purpose & Scope The policy covers everyone who calls or texts for your company.
National Registry You do not call numbers on the national registry without an exemption, and your lists are checked against a copy of the registry no older than 31 days.
Internal list You keep your own list, honor a request within 30 days, and keep requests for at least five years.
Calling-Time Restrictions Calls go out only between 8 a.m. and 9 p.m. in the called person's time zone, or tighter where a state requires it.
Caller Identification Callers say who they are and who they call for, and your caller ID is accurate.
Number Screening Procedure Numbers are screened through DialClear against federal and state Do Not Call lists and litigator lists before outreach.
Training & Recordkeeping Your team is trained on the policy and you keep the records that show it.
Consent Records Consent records are kept at least five years after the last call that relied on them.
Policy Review You review the policy at least once a year.
Disclaimer The policy is not legal advice and should be reviewed with your attorney.

Warning

If a section does not match how your team works, change your practice or have your attorney change the policy before you adopt it. Download the text file to make edits.

Monthly compliance reports

DialClear builds a report for the previous calendar month early on the first day of each month. Reports appear under Monthly compliance reports, newest first, each with its count of scrubs and flagged numbers. Choose a month to open it.

Reports belong to your CRM account. Everyone on the account sees the same reports, and each report counts the screening of every team member, including screening that runs on its own in your CRM. On a direct account with no CRM account, the reports are your own. Reports built before your CRM account owned them stay with the person they were built for, and that person still sees them. The account's own reports start with the next one built.

If you subscribe to the DNC Audit Pack on your direct account, but your CRM account's plan does not include it, DialClear shows you your own reports there instead of the account's, and still builds your own report each month.

You do not have to wait for the first of the month. Generate for last month builds last month's report right away, or rebuilds it with the latest numbers. Anyone on the account who rebuilds it updates the same report. Generating needs edit access to DialClear.

What a report shows

Line What it counts
Total scrubs Every lookup recorded in your account that month, whoever ran it. Flags that Shield applied to your contacts are counted here too, even though no lookup ran for them.
Clean numbers and Flagged numbers How many screened numbers matched no list, and how many matched at least one.
Wireless How many screened numbers were cell phones.
Distinct phones screened Different phone numbers screened, with repeats counted once.
Spend What your CRM wallet was charged for screening that month, and how many charges made it up. It can include charges that failed to collect. A direct account that pays with tokens sees its spending on Tokens instead.
Source lines One line for each way lookups started, such as webhook for automatic screening and manual for lookups you ran yourself.
Federal DNC, State DNC, Anti-telemarketing, Government, Pre-litigation, Plaintiff, Attorney How many numbers matched each type of list.
Consent records added Records in your Consent Vault whose consent date falls in that month. An import of older consent counts toward the months on its dates, not the month you imported it.

State DNC counts matches on the state lists DialClear screens against, which are Colorado, Florida, Indiana, Pennsylvania, Texas and Wyoming.

Frequently asked questions

Does having this policy give me safe harbor?

DialClear cannot answer that for you. Ask your attorney.

Why does the policy show my name instead of my business?

The Company name box starts with your own name. Type your business name before you view or download the policy.

My report for last month is missing

Reports are built early on the first of each month. If it is not there yet, choose Generate for last month. If that button gives an error about access, ask a person who manages your account to give you access under Team access on Settings.

Can I download a monthly report?

Not yet. Reports open on screen only. Take a screenshot or print the page from your browser if you need a copy on file.

Why does a report say some scrubs were processed on our previous engine?

Your account moved to DialClear from our previous engine during that month, or after it. Only the number of scrubs is kept for the days before the move date, so the report states that number in a note at the top, for example 1,204 scrubs up to October 28, 2026 were processed on our previous engine, detailed results unavailable. Total scrubs and every other line count the lookups DialClear ran itself, so they do not include the scrubs in the note.

Which time zone do the months use?

Months run on Coordinated Universal Time, so lookups late on the last evening of a month in the United States can count toward the next month.
