Only scrubbing contacts that match conditions
Add conditions to a service so automatic lookups only run, and only cost money, on the contacts you care about.

Before you start
- The service turned on in Automatic scrubbing
- Permission to change settings in this account
Tip
Skipped contacts are never charged, and a contact that matches later is looked up the moment it does.
Your CRM creates some contacts on its own. An unknown caller who calls your business line becomes a contact with nothing but a phone number. Without a condition, each of those contacts gets screened and charged like a real lead.
Conditions fix that. Each service in Automatic scrubbing has its own Only run when list. When the list has conditions, that service only runs automatically on contacts that match every one of them.
Add a condition
Step 1. Find Only run when
Open Settings. At the bottom of each service row in Automatic scrubbing is the Only run when section. Pick the row for the service you want to limit.
- Only run when. Conditions added here apply to this service only.
- Add condition starts a new row. With no rows, the service runs on every contact.
Step 2. Select Add condition
Select Add condition. A new row appears under Only run when. It reads left to right as three boxes and an X. The first box says "Choose a field", the second holds the test, and the third says "Choose or type values". A finished row reads like a sentence, for example Tags, is one of, new lead. The third box is hidden while the test is has any value, because that test needs no values.
Step 3. Choose a field
In "Choose a field", pick the contact field to test. The list has your standard contact fields first, then every custom field in your CRM.
Standard fields you can pick are Source, Tags, Contact Type, First Name, Last Name, Email, Phone, Company Name, Street Address, City, State, Postal Code, Country, Website, Timezone and Date of Birth. The DialClear fields are left out on purpose, because they are only filled in after a lookup runs.
Step 4. Choose a test
Pick one of three tests.
| Test | Passes when |
|---|---|
| has any value | The field is not empty |
| is one of | The field holds at least one of the values you pick |
| contains all of | The field holds every value you pick |
Step 5. Pick the values
For is one of and contains all of, pick values in "Choose or type values". Picklist fields offer their own options, and Tags offers the tags in your CRM. You can also type a value and press Enter. Matching ignores capital letters.
A row with no values shows "Pick at least one value, this condition isn't active until you do." Conditions save on their own as soon as they are complete. A row with no field picked, or with is one of or contains all of and no values, is not saved and is gone the next time you open Settings.
To remove a condition, select the X at the end of its row.
How conditions are checked
- Every condition in a service's list must pass. There is no "or" between rows. To allow several values, put them in one is one of row.
- Each service has its own list. A condition on phone screening never stops contact verification.
- A contact that does not match is skipped and not charged. If a later edit makes it match, the lookup runs on that update, as long as Contact is updated is checked.
- Conditions only limit automatic lookups. A trigger tag, a re-scrub you start by hand, 30 day Protection, a bulk CSV upload and a request from your server through an API key always run.
- Each service can hold up to 20 conditions.
Example. Skip spam callers
In many accounts, real leads come from a form, an import or an ad, and arrive with a source or a tag. Unknown callers often arrive with neither. Check a few of your own contacts before you pick a field.
- On the Phone screening row, select Add condition.
- Choose the field Source.
- Choose has any value.
Now a contact your CRM creates for an unknown caller is not screened and not charged. If someone later adds a source to it, it is screened on that update.
If your leads carry a tag instead, choose Tags, then is one of, then pick the tags your real leads get.
Troubleshooting
I do not see Only run when
The section appears once DialClear can read the field list from your CRM. If it does not appear, check the connection card at the top of Settings for a Connection error.
A condition says the field no longer exists in your CRM
The field was deleted in your CRM. That condition can never pass, so it stops the service from running on any contact. Remove the condition or pick another field.
A contact matched but was not screened
Check that the service switch is on and the right trigger is checked. Also check every condition in that service's list. One failing row is enough to skip the contact.
